What types of goals can I set for my tasks?

At this point, in our app, you can add 2 types of Project Goals:
  • Ends before – which allows you to set a goal for a task for a specific date selected from the Value field.
  • Costs less than – which allows you to set a goal for a task by typing in a number for cost in the Value field.
How can I see the status of all the tasks in my project?

To see the status of all the tasks in your project, go to menu Project – Tables – More Tables, select the Status table and click Apply.
How can I know if my goal has passed or not?

To know if your goal has passed or not, go to menu File – Info/Status – Project Goals (or menu Project – Project Goals). In the Status field, if the icon is a green check  it means that the task goal passed, if the the icon is a red exclamation mark it means that the task goal has not passed.
What does the Project Goals functionality do?

The Project Goals functionality allows you to define a goal for a task that takes into account the max cost/duration of a task and displays whether this criteria is passed or not.

What are the Task Tables available in the app?

The Task Tables are: Baseline, Constraint Dates, Cost, Delay, Earned Value, Earned Value Schedule Indicators, Entry, Export, Hyperlink, Rollup, Schedule, Summary, Tracking, Usage, Variance, Work, Agile Tasks, Backlog and Status.

In order to group tasks by duration, go to the Project ribbon tab, open Group options and then select Group by Duration.
How can I edit the Successors field?

How to view outline levels?

In order to view the outline levels, follow the steps below:

  1. In the View menu, click Gantt Chart.
  2. In the Task Name field, select the summary task containing the subtasks you want to show or hide.
  3. Go to the Project menu and select the Outline option.
  4. To show the subtasks click Show subtasks and to hide them click Hide Subtasks.
  5. In order to show all the subtasks, click All subtasks.

You can also show and hide subtasks by clicking the summary task’s outline symbol. Outline symbols indicate whether a summary task has subtasks displayed - or does not have subtasks displayed +.

When I put my plan on the TV screen using Apple TV, it's too small for the team to see. How can I increase the magnification to make it readable?

How do I increase the size of the font on a screen especially when sharing with others on Mac?

Go to System Preferences – Accessibility-Zoom and check the option “Use keyboard shortcuts to zoom”. Then, please use the following commands in order to Zoom In/ Zoom Out:

  1. Option-Command-8: This turns the zoom function on or off. Obviously you want it on, but it’s a handy way to check if you’re unsure.
  2. Option-Command-Plus Sign (+): The equal sign version is the way to zoom in on your Mac. Use this input to embiggen.
  3. Option-Command-Minus (-): Zoom out with this function when you are done, or when you want to navigate faster.
How do I zoom out in Gantt Chart view?

You can apply a zoom in/zoom out in Gantt Chart view by going to the Project menu - Zoom. In this way, you can zoom out to get a bigger picture of your project’s tasks by displaying Years and Months and you can zoom in to see the exact start and finish dates for your project’s tasks by changing the timescale to Weeks and Days.

How can I see the planned %complete vs actual %complete?

At this point we don’t automatically calculate the %complete planned. As a workaround you can create a custom field of type Text and insert there the %complete planned.

In order to see the planned finish date for a task vs the actual finish date, please set a baseline by going to menu Project-Set Baseline.

After this, if you encounter some delays on tasks, please change the Start/Finish dates in the Gantt Chart view. These dates will be the actual start and finish dates. The planned dates can be seen in the Baseline Start and Baseline Finish fields.

How do I insert a custom field in a view?

In order to insert a custom field in a view, follow the steps below:

  1. Click on the column header for the column that you want to appear in the right side of the custom field.
  2. Go to menu Format - Insert Column.
  3. Select the desired custom field and how do you want the column to be aligned in Align Data and Align Title boxes.
  4. Type a width for the column in Width box.

If you want the column header text to wrap to multiple lines if the column is too narrow to display it on one line, select the Header Text Wrapping check box. Clear this check box if you want the header to only be displayed on one line.

How can I hide the completed tasks?

In order to hide the completed tasks, you can apply an Autofilter. In order to do that, follow the steps below:

  1. Go to the Project menu and click on Autofilter option.
  2. Click on the autofilter arrow next to the % complete column heading and uncheck 100% value.
  3. All the completed tasks will be hidden and only the tasks that are in progress will be displayed.

Another way is to apply the Incomplete Tasks filter which will show only the tasks that are in progress and will hide the ones that are completed. In order to apply the Incomplete Tasks filter, go to the Project menu – Filter – Incomplete tasks.

The task I selected doesn't move when I click one of the outline buttons. What's happening?

If you are unable to indent or outdent your tasks:

  1. You may be trying to outdent the first-level task. Tasks at the first outline level cannot be outdented. Indent those tasks that you want to include as subtasks to the first-level summary task.
  2. You may be trying to indent or outdent assignments, not tasks. The Resource Usage and Task Usage views display task and resource assignments with indentations similar to those of subtasks. Although assignments may be shown or hidden along with subtasks, they cannot be indented or outdented.
  3. You may be working in a view that doesn’t use the outline buttons Outline buttons (such as Outdent or Indent ) work only in the Gantt Chart, Task Sheet, or Tracking Gantt views.
How do I indicate the time actually spent on the tasks for resources?

To see the actual work performed for a task, you can add the Actual Work field. In the Gantt Chart View, select any field and go to FormatInsert Column. From the Field Name dropdown list select Actual Work.
Why isn't the total cost of a summary task updated when using custom fields?

The Custom fields of Cost type do not automatically calculate the total sum of subtasks of a Summary Task.The only field that works with this formula is the Cost field.Custom Cost fields are used to add custom currency data to an individual task information and does not use the same formula as the Cost field that automatically calculates Summary Tasks value.
Is there any way to filter/highlight tasks that do not have successors?

We don’t have a filter to highlight the tasks without successors but you can use the AutoFilter functionality. In order to do that, go to menu Project-Autofilter. Click on the autofilter arrow next to the “Successor” column heading that contains the information you want to display, and then check the Blank value in order to filter the table.

How do I make the Network Diagram view smaller? I want a smaller font so I can see more on the screen.

In order to reduce the Network Diagram view, you can use the Zoom Out option. In order to that, go to the Project menu select the Zoom option and click on the Zoom Out.
